Collection of Children Policy

For the safety and well-being of all children in our care, the school has strict protocols regarding child collection. No child will be released to any individual who has not been pre-authorized by the parent or guardian.

If someone other than a parent or designated guardian is to collect a child, parents or guardians must inform the school in advance, providing the authorized person’s name and identification. This notification must be communicated through the school’s official channels (such as a written note, email, or phone call to the office) to ensure that the school has documented permission.

Without prior arrangement, the school reserves the right to withhold the release of the child until confirmation is obtained from the parent or guardian. This policy is in place to safeguard children and ensure that only approved individuals are allowed to collect them.

Terms and Conditions

Please read the following terms and conditions carefully, as it is important for all parents/guardians and learners to comply with these regulations to ensure a safe, structured, and harmonious school environment.

School Fees
Payment Terms: School fees are payable in advance and must be paid by the 3rd day of each month. Failure to pay fees on time may result in penalties.
Late Payment Penalty: A penalty fee as set by the school will be added to the school fees if payments are made after the 3rd of the month.
Non-Payment Consequences: No learner will be allowed to attend if fees are outstanding. If fees are more than 30 days overdue without prior arrangement, the contract may be terminated, and the learner’s place will be offered to the next child on the waiting list.
Annual Review: School fees are reviewed annually and may be adjusted to align with the school’s operational costs.
Additional Fees
Registration Fee: A non-refundable registration fee is payable upon enrollment.
Late Collection Fee: Strict penalties will be applied for late collection of children after school hours. A fee as set by the school will be charged for each 30-minute interval beyond the designated pickup time.
Cancellation/Withdrawal
Notice Period: One full calendar month’s written notice is required if a learner is to be withdrawn from the school. November cannot be used as a notice month, and thus December fees will remain payable if notice is given during this period.
School Hours
Standard Hours: Standard hours are provided according to the selected enrollment.
Attendance: To avoid disruption to the school program, all children should arrive by the set school time each day.
Health and Wellness
Illness Policy: In accordance with the Department of Health, learners may not attend school if they are ill. Parents will be notified if a child becomes unwell during school hours, and prompt collection of the child is required.
Medication Policy: The school prefers not to administer medication. However, if necessary, prescribed medication may be administered with parental consent. A medication register must be filled out by the parent/guardian, and all medication should be handed directly to the responsible staff member for safekeeping.
Vaccinations: Parents/guardians are required to ensure that their child’s vaccinations are up to date in accordance with South African health regulations.
Personal Items
Labeling: All personal items, including clothing, must be clearly labeled with the learner’s name. The school is not responsible for lost or misplaced items that are not marked.
Dress Code: Children should wear comfortable, play-appropriate clothing, or uniforms according to the school’s dress code. A spare set of clothes should be sent in case of any accidents or spills in the case of younger children.
Toys: No personal toys are allowed at school. If school toys accidentally go home, please return them the following school day.
Meals and Snacks
Provided Meals: The school may provide breakfast, a nutritious lunch, and an afternoon snack, according to the school’s policy.
Lunchbox: Parents are requested to pack a healthy lunchbox, with items like sandwiches, fruit, yogurt, and snacks, which will be enjoyed at the designated snack time. Sweets are permitted only on Mondays, and carbonated drinks are discouraged.
Parking
Designated Parking Area: Parents are required to use designated parking areas in front of the school, following guidelines to ensure smooth traffic flow. Avoid parking in front of neighboring properties to respect the surrounding community.
Extracurricular Activities
Arrangements and Payments: All extracurricular activities should be arranged directly with the service provider. Payments for these activities must also be made directly to the provider, as the school is not responsible for managing extracurricular fees or losses related to them.
Field Trips and Outings
School Visits: The school will arrange educational visits from external authorities or presenters. No off-site field trips are planned, ensuring all activities are conducted on the school premises.
Legal Compliance
Consumer Protection Act: This agreement adheres to the Consumer Protection Act (CPA) and ensures transparency, fairness, and quality in the services provided by the school.
National Credit Act Compliance: Payment terms comply with the National Credit Act (NCA) to ensure that parents/guardians are fully informed of financial obligations.
Protection of Personal Information Act (POPIA): The school commits to safeguarding personal data in compliance with the Protection of Personal Information Act. Information gathered will be used solely for administrative purposes and will not be shared with third parties without consent.
General Conduct
Adherence to School Policies: By enrolling in the school, parents/guardians and learners agree to adhere to all school policies, procedures, and rules.
Updates to Terms: The school reserves the right to amend these terms and conditions as necessary. Parents/guardians will be notified of any changes in advance.
